A Guide for Tenants Completing a Report Online

Navigate to my.propertyinspect.com and type in your email address and the password given to you to log in.

Once you log in, you will see the below screen with the relevant populated fields:

Click Start Report to activate the report for editing. Once you’ve activated the report, the status will change to ACTIVE, and you’ll see the new tabs and buttons appear along the top.

If there is current no cover photo for your property, select Change Cover Photo on the left hand side to insert a recent image you have taken.

Click on the Edit Report tab to get started: 

Navigate through each section and click in fields to enter your observations

Smoke Alarms

There should be at least one smoke alarm for each level in the property. For example a 3 bedroom house would normally have 1 x smoke alarm located perhaps in the lounge or entrance hallway. The alarm to the next level would normally be located in the landing. 

Some properties also have a heat sensor alarm located in the kitchen area. Carbon monoxide alarms(s) are common even when there are no solid burning fuel units at the property. 

All alarms should be listed and push-button tested

State where the alarm is located; for example:

Location: Entrance hallway

                 Landing 

Test each alarm by pushing the test button and note whether you have heard a ‘bleep’ or not and indicate the result:

Test Result: Alarm push-button tested. Bleep heard / not heard (delete where applicable)

Please Note: Replacement of batteries are your responsibility, however, if the alarm is a sealed unit or mains connected and you cannot hear a ‘bleep’ then state this in your comments. 

Outstanding Issues

This section is to let the landlord/managing agent know of any changes to the property since the tenancy started. For example, a new or replacement shed in the garden, repainted walls or replacement carpets fitted.

If there are any outstanding issues that need to be highlighted add the information in the comments section.

Comments: 

You should be telling the landlord/managing agent what the issues are, or information you want to tell them about that requires their urgent attention.

  • Click the small paper icon to add your comments.

Add Photographs:

There are no limits to the number of photos you can upload however we recommend adding enough to help the landlord/managing agent understand what it is you are telling/showing them.

To upload a photo from your desktop, click on the camera icon on the Item/Condition > Upload. A pop up will appear where you can select your photos. Click Choose once you have finished selecting.  

Self Assessment 

All the questions shown are so that the landlord/letting agent can be sure that your rental property is safe and is suitable for you/your family.

Please answer all the questions; select your answer by tapping on either:

NO

Room Pictures

As a minimum you should take 2 x pictures of each room or area (garden / outside spaces) so that the landlord / managing agent can ‘see’ how the property is being maintained and so that they can help you manage any issues.

Take a picture of the room from the doorway into the room than another from each corner of the room.

There are no limits to the number of photos you can upload however we recommend adding enough to help the landlord/managing agent understand what it is you are telling/showing them.

To upload a photo from your desktop, click on the camera icon on the Item/Condition > Upload. A pop up will appear where you can select your photos. Click Choose once you have finished selecting.  

Uploading Photos in Bulk

Click on the Uploads tab. 

Select Choose Files to highlight all the images from your computer.  

You can click on a photo to access options including room/item assignment, photo caption/description and marking as the cover photo. 

Alternatively you can assign (or delete) photos in bulk to/from specific rooms or items by ticking the checkbox in the upper left corner of each photo and clicking Assign selected. A popup will appear to choose the room/item. 

To select a range of photos, tick the first photo's checkbox then hold SHIFT on your keyboard and tick the last photo in the range. This will check all photos between/up to the final photo. 

Once you’ve finished entering all the data for your report, click Mark Complete. This will send the report back for review and you will no longer be able to edit it.
