Tenant Confirmation Emails

Allow tenants to confirm inspections, or reschedule with desired new date and comments.

Adding the tenants/landlords as contacts on your report simplifies your reporting process and allows all relevant parties to be informed of the details, progress and outcome of an inspection.

With our new feature, the tenant notification emails includes 'Confirm' and 'Reschedule' buttons, allowing tenants to confirm their acceptance of an inspection, or decline with a reason and offer new dates to re-book the report.

Click on the Settings tab at the top of your online dashboard > under General Settings, scroll down to the 'Confirm Inspections' tab:

  • Confirm Inspections

    • Toggle 'On' to enable this feature

  • Default setting for confirmation of inspection visit dates

    • New Inspections can be automatically marked as 'Confirmed' or 'Unconfirmed'

  • When should inspections be marked confirmed

    • Set inspections to be marked as Confirmed when marked Active on the dashboard, or Fetched to the app

  • Allow tenants to confirm or reschedule via email

    • Enable the Confirm or Reschedule option for tenants


In order for the tenant confirmation email to be sent out, the following conditions must be satisfied:

  1. The "Allow tenants to confirm or reschedule via email" must be enabled

  2. Conduct date must be "Confirmed" when creating the inspection

  3. Inspection Contact must have "Notify" enabled with a valid email address

  4. A clerk is assigned to an inspection/has accepted their assignment

Once the inspection is created, an email confirmation will be sent out to all contacts that are specifically marked as Notify. The tenant's email will include the 'Confirm' and 'Reschedule' buttons, allowing tenants to confirm their acceptance of an inspection, or decline with a reason and offer new dates to re-book the report.

If the tenant clicks on Confirm:

If the tenant clicks on 'Reschedule', they will be able to choose from a date picker the new proposed date of the inspection, and they will have the option to add leave any comments/reasons.

The inspection will then be moved to "Unconfirmed", and the comments added in the reschedule request will be sent to the clerk and appear under "Internal Messages" for this inspection.
