Before you get started with the Property Inspect Maintenance Module, you will want to configure a few things.
1. Add the maintenance link to all email communication
To enable the URL link on all email generated from Property Inspect, navigate to
Settings > General > Inspection Settings > Include Maintenance Link in Emails.
Enable the settings.
Pro-Tip: Copy the maintenance link to a button or your website for maximum efficiency. The link is available in Property Inspect, by heading to:
β
Properties > Actions > External Maintenance Reporting
2. Creating or Customize Property Action Categories
The default action categories within Property Inspect are Needs Cleaning, Needs Maintenance, Needs Repair.
Choose these or create your own unique action types in PI by navigating to Settings > Actions and choosing the Property Actions Category.
3. Managing Notifications and Portfolios
Default Inspector
PI now enables you to associate a property with a user. To set the default user or inspector on a property, navigate to the property in Property Inspect and edit the property.
The default user will be auto recommended when scheduling inspections for the property and will be notified of any new maintenance requests from a tenant or external user. As well as receive confirmation when a contractor submits their costing on a RFQ request.
Smart Maintenance Configuration
Auto assign Priority based on the action type.
Navigate to the property action settings (Settings > Actions and choosing the Property Actions Category.)
Select the action category and choose the default priority in the 3rd (right-hand) panel. (This can be overridden, if and when needed when managing actions.)
Advanced Action Notifications
Advanced action settings allow your maintenance manager/team to receive actions specific notifications.
Click on the Manage Notification button in the 3rd (right-hand) panel.
Add recipients of the notification in the pop-up screen.

4. Archive Old/ Outdated Actions
If you have made use of Property Inspect for a number of years, chances are that you have a number of outdated or irrelevant actions in Property Inspect. These may include actions flagged from inspections, rectified and managed outside of Property Inspect.
Feel free to start a new slate with the maintenance items in PI, by archiving any dated actions.
Note: Archived actions will still be visible when including actions previously archived when searching for actions.
