Integrating Property Inspect with Rent Manager

The Property Inspect and Rent Manager integration streamlines property management by seamlessly linking inspection reports with rental data. This integration enhances efficiency by allowing property managers to easily track inspection results and manage maintenance requests, ultimately leading to better tenant satisfaction and more effective property oversight.


Connecting via your Rent Manager account

The first thing you need to do is request activation for the Property Inspect integration within Rent Manager:

  1. Log in to your Rent Manager account

  2. Go to Admin > Available Integrations

  3. Search for the Property Inspect integration

  4. Click Request Activation

  5. Select the data you would like Property Inspect to access

  6. Click Request Activation

πŸ’‘ Once you have requested activation, our team will connect your Property Inspect account to Rent Manager for you. Please allow us a day to complete this process.

How to connect via your Property Inspect account

Please contact us at if you know your Rent Manager "Company Code" and we will assist you with your connection.

1. Start by navigating to the Settings tab at the top of your online dashboard >> click on the Integrations tab:

2. Scroll down the Integrations list to the Rent Manager integration and click on the green Connect button:

3. Once you paste in your Company Code, and click on the Save button, the integration will connect and you will see the below Settings:


Setting up your Rent Manager integration

Once you have successfully connected your Property Inspect account to your Rent Manager account, we encourage you to spend some time going through the settings.

This will ensure that the correct date syncs through, according to your set specifications for this integration.

1. Click on the Manage inspection filters tab:

2. Click on the Sync inspection types. This will pull your existing inspection/report types from your Rent Manager account.

πŸ’‘ Only inspections matching your configured types will be imported as Property Inspect inspections, i.e., you have to align/link the inspection types that exist your Property Inspect account to the inspection types from your Rent Manager account.

3. Once you have associated the inspection types on Property Inspect with the inspection types from Rent Manager, you can click on Close.


Importing your properties from Rent Manager

Before you click on Sync Properties tab on the integration's settings page, you should first set up your property sync settings:

  • Sync Properties Daily: automatically import properties from Rent Manager into your Property Inspect account daily (or update existing properties)

  • Sync Units: automatically import units alongside your properties (or update existing)

πŸ’‘ When syncing properties between Rent Manager into Property Inspect

  1. Exact Match: If a property from Rent Manager matches an existing property on your Property Inspect account in both address and property details, Property Inspect will update the existing property with the latest information from Rent Manager.

  2. No Exact Match: If a property from Rent Manager is synced to Property Inspect but the address or property details do not exactly match any existing property in Property Inspect, a new property will be created in Property Inspect using the information from Rent Manager.

Once the system has run the import, you will be informed of the status of the import:

If you are happy to proceed, press Confirm:


Importing property contacts from Rent Manager

At the moment, our integration only allows you to import the contacts (Landlords and/or Tenants) that are listed under the property itself. We do not import inspection contacts.

We encourage you to manage your Contact Import Settings before you import any properties/inspections from Rent Manager, as this will help you ensure that your reporting is efficient and effective as you need it to be.


Importing your inspections from Rent Manager

You are able to import inspections that are created on Rent Manager back to Property Inspect.

Under the integration settings, click on blue Sync inspections button:

Note: your current team members on Property Inspect cannot be automatically assigned to inspections that are imported; once you import the inspections, you will still need to assign them to the designated team member.


Syncing your report PDF from Property Inspect back to Rent Manager

Our integration allows for the completed report to be synced back to your Rent Manager account.

Under the integration settings, toggle the Upload report deliverable to On:

πŸ’‘ When enabled, this will create history notes on Rent Manager with the Property Inspect report PDF attached.

The history notes/PDF will be sent to Rent Manager as soon as you mark the inspection as 'Complete' on Property Inspect.


Syncing your actions from Property Inspect back to Rent Manager

The system allows you to sync actions flagged on your inspections back to Rent Manager as Service Manager Issues.

You can choose one of the following triggers in your integration settings:

  • Never;

  • When report completed; or

  • When action logged (created).

Once you choose to sync actions back to Rent Manager, you will need to click on the Manage actions setting:

Under your Manage actions tab, you will be able to sync through your Service Manager categories:

Once you sync through your categories, you will need to navigate to your Actions tab on your online dashboard:

  1. Navigate to the Inspection Type (in the first column)

  2. Select an action (in the second column)

  3. Assign that action to the specific Service Manager Category you want to sync/post back to on Rent Manager (third column)

If you do not want an action to sync back to Rent Manager, leave the Service Manager Category as None (DO Not Sync).


Syncing your meter readings back to Rent Manager

You can sync any meter readings for matching utilities from Property Inspect back into your Rent Manager account.

Under the Rent Manager settings, you can choose one of the following triggers to Sync Meter Readings:

  • Never;

  • When Report Complete; or

  • When Report Closed.

Once you choose to sync meter readings back to Rent Manager, you will need to click on the Manage utilities setting.

Click on the blue Sync Utilities tab to pull through the list of utilities from your Rent Manager account:

You can enable/disable meter reading syncs for individual utilities and then press Close.
