MRI PMX: Contact Import Settings

Learn how to configure which MRI Property Management X contacts should import into Property Inspect, where they should be added, and how vacated contacts can be removed automatically.

This guide explains how to configure Contact Import Settings for the MRI Property Management X (PMX) integration.

When contacts are imported from PMX, they can be added to the relevant imported property, building, unit, or suite in Property Inspect. You can also choose how those contacts should be used for report delivery, inspection notifications, signatures, SMS, and vacated contact removal.

Before You Start


Before configuring contact imports, make sure:

  • Your PMX integration is connected.

  • Your PMX property sync settings have been reviewed.

  • The properties, buildings, units, or suites you want to use have been imported from PMX.

You can check your PMX settings by going to:

Settings > Integrations > MRI Property Management X

⚠️ Important: Contacts can only be linked correctly when the relevant PMX property, building, unit, or suite has been imported into Property Inspect.

How PMX Contacts Are Imported


PMX contacts can be imported from different areas of MRI Property Management X, depending on your PMX setup.

These may include contacts linked to:

PMX Area

Example Contact Location

Residential Management

Properties, buildings, and units

Commercial Management

Buildings and suites

Shared

Entities, where applicable

The contact types imported from PMX may include:

  • Applicant

  • Prospect

  • Resident

  • Sublet

  • Transfer

Once imported, these contacts appear in Property Inspect against the relevant PMX-linked property record.

Why Contact Levels Matter


PMX data can exist across multiple levels.

For example, in Residential Management, you may have:

  • A property

  • Buildings under that property

  • Units under those buildings

  • Contacts linked to one or more of those levels

Previously, Property Inspect imported contacts for all available levels. This meant contacts could appear at multiple levels.

RM Unit

The unit has its own contacts.

RM Building

The building may include contacts from its units.

RM Property

The property may include contacts from its buildings and units.

ℹ️ This gives you more control and helps prevent unwanted contacts from being added to higher-level property records.

Configure Contact Import Levels


In the PMX integration settings, you can use on/off switches to choose which PMX levels contacts should import for.

To configure contact import levels:

  1. Go to Settings.

  2. Select Integrations.

  3. Scroll to MRI Property Management X.

  4. Find Contact Import Settings.

  5. Switch the relevant contact import levels on or off.

  6. Save your changes.

For example, if you only want contacts to be imported against Residential Management Units, you can disable contact imports for Residential Management Properties and Residential Management Buildings, while keeping Residential Management Units enabled.

Contact Import Options


You can also choose how imported PMX contacts should be used in Property Inspect.

The available options may include:

Delete Completed Report

Sends the final completed report to the contact when the report is completed, where applicable.

Notify Of Inspection Date

Sends the contact an email when an inspection is booked or rescheduled.

Pre-Fill Signature Details

Adds the contact’s details to the signature section so their signature can be captured on the report.

Receive SMS

Allows the contact to receive SMS notifications, where SMS is enabled and available.

Removes eligible vacated Residential Management contacts from the property after their vacate date has passed.

Delete If Vacated

The Delete If Vacated setting controls whether eligible vacated Residential Management contacts imported from PMX should be removed from Property Inspect automatically.

This setting is off by default.

When enabled, applicants or residents imported from PMX can be automatically removed from the property in Property Inspect after their vacate date has passed.

This helps keep your property contacts up to date and reduces the chance of older residents or applicants staying attached to the property after they have vacated.

⚠️ Important

  • This applies to Residential Management contacts imported from PMX. It does not remove all contacts from the account.

  • The Delete If Vacated PMX setting is specific to eligible vacated contacts imported from MRI PMX.

    • This is separate from other Property Inspect contact removal settings, such as removing contacts from inspections or properties based on inspection events.

If you are unsure which setting applies, check whether the contact was imported from PMX and whether they have a vacate date in PMX.

After Contact Settings Have Been Updated


After updating your contact import settings, continue with the next relevant setup step.

You may want to:

  • Sync properties, if this has not already been done.

  • Check that the expected PMX-linked records exist in Property Inspect.

  • Review imported contacts on a sample property, building, unit, or suite.

  • Confirm whether contacts are being added at the correct PMX level.

  • Continue to inspection sync and report update settings.

PMX is connected

Contact import requires an active PMX connection.

Properties have synced

Contacts need the related PMX property, building, unit, or suite to exist in Property Inspect.

The correct contact levels are enabled

Contacts only import for the levels switched on in Contact Import Settings.

The contact exists in PMX

Property Inspect can only import contacts available from PMX.

The contact has the expected PMX relationship

Contacts must be linked to the relevant PMX record.

Delete If Vacated is enabled

If enabled, eligible contacts with a past vacate date may be removed from Property Inspect.
