Inspection Types and How to Create Your Own

Key Features: pre-loaded with Tenancy Life Cycle and Inspections categories, you can create your own inspection types and categories and choose not only the types such as standalone, midterm or final reports, but also choose how it will be delivered as either a web report, document or gallery.

Key Benefits: more flexibility around the types of report you can create in service of your clients, better functionality in how the report is configured and outputs determined


There are pre-loaded inspection/report types in your Property Inspect account, which are as follows:

Midterm Inventory - Use this report type to create a report similar to a Check Out that will provide a comparison column stating differences between this and the original Inventory and/or Check In.

Inventory & Check In - Use this report type to do a complete inventory of the property at the same time as the tenant moving in.

Check Out - Use this report type to produce a comparison report when the tenant is moving out of the property to compare the current condition of the property to the original Inventory and/or Check In.

Update - Use this report type to update an existing Inventory outside of the tenancy lifecycle. We do not recommend doing this mid-tenancy.

Check In - Use this report type when moving new tenants into a property if an inventory already exists.

Inventory & Schedule of Condition - This is typically the first report done on a property, and includes all fixtures and fittings to provide a full condition report for all the contents of a property.

Standalone Inspection - Use this report type to do a standalone, interim inspection on a property.

Risk Assessment - Use this report type to do a risk assessment of a property.

Deliverables

  • Web Report - Interactive template-based report with embedded photos and videos.

  • Gallery - Photo and video gallery of all uploads.

  • PDF - Document or certificate PDF.

  • No Deliverable (Task Only) - This report type can be used for internal-use reports, i.e., key collection, internal report, or something similar. It cannot be shared as there will be no final report to share.

  • Document - This deliverable can be used for documents like floorplans, gas certificates, etc.


Managing/Adding Your Own Inspection Types

Navigate to Settings > Reports > Manage Types to add or edit Inspection for your account

The Inspection Type Manager will come pre-loaded with two categories

  • Tenancy Lifecycle

  • Inspections

You can also create your own Categories by selecting the plus button

Once you have created your categories, you can now add your types of inspection by selecting the plus button next to Inspection Types after highlighting the category you wish to add them to

When you select to create an Inspection Type, the following pop up will appear for you to complete the information

Choose a Name for the Inspection Type

  • Give a brief Description or overview of when to select this report type to serve as a helpful reminder to your team

  • Add a Short Code where applicable. If left blank, we will create one for you

  • Choose the Duration of how long this inspection will book out the calendar for (this can also be amended when creating the booking)

  • Choose a Lifecycle Type from the following:

    • Standalone - Use this report type to do a standalone, interim inspection on a property

    • Initial - Use this report type to do the first complete inventory of the property

    • Check In - Use this report type when moving new tenants into a property if an inventory already exists.

    • Midterm - Use this report type to create a report similar to a Check Out that will provide a comparison column stating differences between this and the original Inventory and/or Check In

    • Update - Use this report type to update an existing Inventory outside of the tenancy lifecycle. We do not recommend doing this mid-tenancy

    • Final - Use this report type to produce a comparison report when the tenant is moving out of the property to compare the current condition of the property to the original Inventory and/or Check In.

  • Choose a Deliverable from the following

    • Web Report

    • Document

    • Gallery

  • Finally, choose a Default Template from your desktop (if applicable)

Click Save once you have finished setting up your Inspection Type. You will find details about any inspection types under the Information column

Here you can also:

  • Manage Report Settings - This will take you to the Settings page to update any settings for this report type

  • Manage Emails - This will direct you to the Emails tab to update the email settings of this report type for Clients, and other third parties
